Dried fruit looks like a commodity from the outside. One apricot resembles another, the category has been traded for centuries, and the temptation is to run an RFQ, sort the responses by price and take the lowest. Buyers who do this once usually do not do it twice, because the offers were never describing the same product: they differed in grade, calibre, moisture, defect tolerance, treatment, packaging and delivery basis, and the cheapest of them was cheap for reasons that appeared later in the supply chain rather than in the quote.

Two quotes can differ on any of these lines without either supplier being dishonest. The task in evaluating offers is to find out which lines differ, not to assume the gap is margin.
Grade and calibre: the biggest controllable lever
For most dried fruit, the largest cost variable a buyer actually controls is how tightly the product is graded.
Fruit arrives from the orchard as a distribution: a range of sizes, colours, sugar levels and defect rates. A grade is a cut through that distribution. Ask for large, uniform, bright, defect-free fruit and you are asking for the narrow top of the curve — and, critically, someone still has to sell everything the grade excluded. That excluded volume does not evaporate; its cost is carried by the fruit that passed. Ask for a wider band and the same harvest produces far more saleable product per tonne, which is why a modest relaxation in calibre or colour can change a quote more than any negotiation will.
This has a direct practical implication: specify the grade your application needs, not the best grade available. Whole apricots on a retail shelf are judged by eye and justify a tight calibre. Moisture: a quality parameter that is also a weight
Moisture deserves its own section because it is the one specification line that is simultaneously a quality attribute, a shelf-life driver and a quantity of water you are buying by weight.
Higher residual moisture produces softer, plumper fruit that many buyers prefer on eating quality — and it increases microbial and mould risk, shortens shelf life, and means a proportion of the delivered weight is water. Lower moisture is more stable and stores better, but the fruit is firmer and the yield from a given quantity of fresh fruit is lower, which raises the cost of the finished product.
There is no universally correct target; there is only a target matched to the application, the packaging barrier and the intended shelf life. What matters commercially is that moisture is stated as a specification with a maximum and a method, and that quotes are compared at the same moisture level. Comparing a high-moisture offer with a low-moisture one on weight alone is comparing different amounts of fruit.
Water activity, which governs microbial stability more directly than moisture content does, belongs in the same conversation for products with a long ambient shelf life.
Drying method and energy
How the fruit is dried changes both the cost and the product.
Sun drying has almost no energy cost and a large weather risk. It ties the operation to the harvest window and to whatever the sky does during it. Rain at the wrong moment damages a crop that is already picked.
Conventional hot-air drying buys control over that risk with fuel. It runs to a schedule, hits a moisture target reliably, and its cost tracks energy prices directly.
Geothermal drying uses naturally occurring heat rather than purchased fuel, giving controlled drying with a structurally different energy cost base and a different carbon profile. Freeze drying is a different category of process and a different category of cost, producing a crisp, porous, very low-moisture product for applications where texture and rehydration behaviour matter more than density. It is not an upgrade to conventional dried fruit; it is a different ingredient.
The buyer-relevant point is that drying method is a specification line, not a supplier detail. Two quotes for "dried apricots" using different methods are quoting different products with different textures, colours, moisture behaviour and cost bases.
Sulphited versus unsulphured
This is the single largest fork in the dried fruit category, and it affects cost in several directions at once.
Sulphur dioxide treatment preserves bright colour, extends shelf life and suppresses certain spoilage organisms. Unsulphured fruit is darker — this is normal caramelisation and oxidation, not a defect — and typically has a shorter shelf life and tighter storage requirements.
The cost consequences are not one-directional:
- Unsulphured production usually requires faster handling, more careful drying and tighter storage, all of which add cost.
- It also removes a processing step and an input, which subtracts cost.
- It narrows the acceptable raw material, because fruit that would have been rescued cosmetically by sulphiting no longer can be, which raises effective cost.
- On the demand side, unsulphured fruit serves a clean-label position that many buyers want, and market demand for a narrower supply pushes in the usual direction.
There is also a compliance dimension. Sulphites above the declarable threshold are a listed allergen in the EU and must appear on the label of the finished product, under the framework in Regulation (EU) No 1169/2011 on food information to consumers. That labelling obligation belongs to whoever puts the product on the market, which means the treatment choice is a commercial decision for the brand, not only a technical one for the supplier. Note also that any statement about health effects sits under Regulation (EC) No 1924/2006 and is outside what a supplier specification should contain.
Sorting, labour and defect tolerance
After drying, fruit passes through a sequence of removals: stems, stones and stone fragments, immature or damaged pieces, discoloured fruit, foreign material. Optical sorters do the bulk of this work at speed; hand-picking does the part machines cannot, and hand-picking is labour, priced by labour availability in the growing region during a season when everyone needs the same people at the same time.
Defect tolerance is therefore a direct cost setting. Each tightening of the allowance means more passes, more hand work and more rejected product. It also means more of the harvest goes into lower-value channels, and that shortfall is recovered in the price of the accepted fruit.
Two practical rules follow. First, write defect tolerances as numbers your supplier can measure against, per defect type, rather than as adjectives — "clean and uniform" is not a tolerance. Second, do not tighten a tolerance you cannot detect on receipt; a specification you never verify is a cost you pay for and never collect. Foreign-body control — metal detection, X-ray, sieving — belongs in the same cost line and is set by the destination customer's requirements as much as by your own.
Testing and documentation
Dried fruit carries a category-specific analytical burden. Mycotoxin screening is the prominent one, and the risk profile differs sharply between fruit types and origins; pesticide residue screening, heavy metals and microbiological testing complete the usual package. Every parameter is a purchased test, and the choice between per-lot accredited testing and periodic verification is a real cost decision rather than a formality.
The same applies to documentation: lot traceability records, origin evidence, specification maintenance and the responses to a customer's quality audit all take work. Packaging and the weight economics of freight
Packaging ranges from bulk cartons with a liner, through bag-in-box and big bags, to printed retail pouches. Cost rises steeply as you move toward retail formats, because you are adding barrier material, print setup, smaller unit sizes and more handling per kilogram of fruit. Freight behaves differently for dried fruit than for most natural products because dried fruit is dense. A container of dried fruit generally reaches its weight limit before it fills its volume, which means:
- Freight cost per unit is driven by weight, and any water in the product is water you are also paying to ship.
- Packaging that adds volume without adding product — oversized cartons, poor palletisation, excessive void — is paid for twice, once as material and once as unused container capacity.
- Consolidating a full container is materially more efficient than shipping part loads, which is one reason minimum order quantities exist in the category.

Seasonality and harvest risk
Dried fruit is an annual crop stored and sold across a year. That creates a set of timing effects that are easy to mistake for supplier behaviour.
Position in the crop year matters. Material shipped shortly after harvest is fresh, plentiful and typically at its most competitive. Material shipped late in the season comes from stock that has been stored, financed and selected, and the remaining pool is smaller and more variable. Neither is a better deal in the abstract; they are different products with different remaining shelf life.
Harvest outcomes are real events. Frost at flowering, hail, drought or rain during drying reduce volume and quality. When they do, the market moves, and a supplier who does not move with it is drawing on old stock or lowering the grade quietly.
Contracting ahead changes your position. Committing volume before or at harvest shares risk with the producer and generally improves terms and availability; buying spot leaves you exposed to whatever the year produced. When a low quote should worry you
- Moisture at the top of the range with no stated method. The cheapest way to add weight to dried fruit is not to finish drying it.
- A grade description with no measurable parameters. Adjectives are unenforceable; calibre counts, colour references and per-defect tolerances are not.
- Testing "available on request". The analysis that protects you is the one performed on your lot.
- Availability that does not track the harvest. A short crop year that produces unlimited offers from a trader is worth a question.
- No lot traceability back to a defined origin. Without it, a problem cannot be contained, only absorbed.
- A specification accepted instantly and in full. Experienced processors negotiate at least one line of a demanding specification.
- Packaging cost that seems absent. It is never absent; it has been substituted downward, and you will meet it as damaged cartons or an unsuitable liner.
Getting comparable quotes
Send every supplier the same specification: fruit type and variety; grade and calibre with measurable parameters; moisture maximum with method; treatment (sulphited or unsulphured); defect tolerances by type; the testing panel required and whether per lot; whole or converted, and to what cut specification; packaging format, unit and pallet configuration; volume, call-off pattern and position in the crop year; and the Incoterm and destination.
Then ask for a real production sample with its actual lot certificate and check it against the specification yourself. That step costs very little and prevents the expensive version of this lesson.

FAQ
Why do dried fruit quotes for the same product vary so widely?
Because the offers are rarely for the same product. Grade and calibre, moisture target, sulphited or unsulphured processing, defect tolerance, whether testing is per lot, whether the fruit is new-crop or stored, packaging format and the Incoterm all change what is being sold and all move cost independently. Normalise the offers onto one specification before comparing them: the same grade, the same moisture with the same method, the same treatment, the same testing scope, the same packaging and the same delivery term. Whatever difference survives that exercise is a real difference.
Does higher moisture make dried fruit cheaper?
It makes it heavier, which is not the same thing. Water retained in the fruit is delivered weight you pay for and freight you pay to move, and it shortens shelf life and raises microbial and mould risk. Lower-moisture fruit yields less finished product from the same fresh input, so it costs more per unit but contains more fruit per unit. The only sound way to compare is to fix the moisture maximum and the test method in the specification and require every quote to be made against it.
Is unsulphured dried fruit always more expensive than sulphited?
Not automatically, and the drivers push in both directions. Unsulphured processing removes a treatment step and an input, but it demands faster handling, more careful drying and tighter storage, and it narrows the raw material that can be used because cosmetic rescue is no longer possible. Shelf life is shorter, which affects stockholding. Demand for clean-label positioning also concentrates on a smaller supply. The decision should be made on which product your market and your label require, then costed — not the other way round.
How much does grade tightening actually affect cost?
More than most buyers expect, because a grade is a cut through the natural distribution of a harvest and everything excluded still has to be sold somewhere. Narrowing calibre, colour or defect tolerance reduces the proportion of the crop that qualifies and increases sorting passes and hand-picking labour, and both effects land on the fruit that passes. The practical response is to specify the grade the application genuinely needs — cosmetic uniformity is worth paying for in a visible retail pack and largely wasted in fruit about to be diced into a bar.
Why does freight matter more for dried fruit than for other ingredients?
Because dried fruit is dense enough that a container typically hits its weight limit before it fills its volume. That makes freight cost a function of weight rather than space, so residual moisture, heavy packaging and poor palletisation are all paid for twice — once as material and once as container capacity you bought but did not use. It also means part loads are disproportionately expensive per unit, which is a large part of why minimum order quantities exist in the category and why consolidating orders is usually the single easiest saving available.
