Harvest variability and the crop-year problem
Essential oils are agricultural products with a single annual production window for most species. That has three cost consequences buyers frequently underestimate.
A bad year is a real cost, not a negotiating position. Frost at flowering, drought, hail, or an unusually wet harvest reduces both biomass and oil content. When it happens, the material is genuinely scarcer and the whole market moves. A supplier who does not pass this through is either holding old stock, blending in older or lesser material, or absorbing a loss they will need to recover elsewhere.
Quality varies with the same weather that varies the quantity. A stressed crop does not merely produce less oil; it often produces oil with a shifted constituent profile. Energy is the other half of this line. Steam has to be raised, and the cost of raising it depends on the fuel or heat source available at the site. Distilleries with access to a cheap or renewable heat source have a structurally different cost base from those buying fuel — this is not a discount, it is a different plant.
Two further factors sit here. Batch size: partial loads carry the same fixed heating and cleaning cost as full ones. Chemotype scarcity and the specification premium
Two plants of the same species can produce chemically distinct oils. These chemotypes are not grades of a single product; they are different materials from an identical-looking plant, and a specification that names a chemotype narrows the acceptable raw material dramatically. Narrower raw material means less of it, more selection, and often dedicated cultivation or a specific harvest location.
The same logic applies to any constituent-range specification. Asking for an oil to fall inside a defined band for a marker constituent means the supplier must test, sort and sometimes reject lots that would be perfectly saleable as generic material. That rejected material does not disappear — its cost is carried by the lots that pass. This is a legitimate premium and it should be visible in the quote rather than hidden.
The corollary matters for buyers: do not specify a chemotype or a tight constituent band you do not actually need. Every tightening has a cost. Specify what your formulation requires and no more. Analysis and documentation are real cost lines
Buyers tend to treat testing as something a serious supplier simply provides. It is a purchased service with a per-lot cost, and the scope is a choice.
A full GC-MS profile at an accredited laboratory, run on every lot, costs meaningfully more than a periodic profile or an in-house chromatogram. Add physico-chemical parameters, allergen quantification for cosmetic use, pesticide screening, and heavy metals, and the analytical package can become a visible share of the cost for a modest order — which is exactly why quotes for small volumes often look disproportionate. Documentation beyond the chromatogram carries cost too: safety data sheets maintained per destination, allergen declarations, origin and traceability records, and the audit responses a customer's quality team will eventually request. Packaging, freight and minimum runs
Packaging is chosen by material compatibility, not preference. Essential oils are aggressive solvents; the container, liner and closure have to survive contact and protect the oil from light, oxygen and heat. Fill size drives cost in both directions — small fills multiply container and labelling cost per unit of oil, while large fills reduce it but commit the buyer to consuming the drum before oxidation becomes an issue. Freight for essential oils is rarely a simple weight calculation. Several oils are classified as dangerous goods for transport, which changes packaging requirements, documentation, carrier options and cost. Mode matters: sea freight is economical per unit but slow and exposes the material to temperature swings in transit; air freight inverts both. Minimum runs exist because setup, cleaning, quarantine, testing and administration do not shrink with order size. A quote for a quantity below a supplier's efficient run size is carrying those fixed costs on a small base. This is not a penalty for being small; it is arithmetic, and it is why the first order in a relationship frequently looks worse per unit than the third.
Why two honest quotes for "the same oil" differ
Set aside adulteration for a moment. Two entirely legitimate suppliers can quote the same botanical at very different levels for reasons that are all visible if you ask.

When a cheap quote is a warning
Some low quotes are efficient. Others are cheap because the material is not what the label says, and the category has well-documented ways of getting there. Treat the following as prompts to investigate rather than proof of anything:
- A price that is stable across crop years for a botanical whose harvest visibly was not. Genuine agricultural material moves with its harvest.
- Unlimited availability of a structurally scarce oil. If the botanical is labour-intensive or low-yielding, large quantities available immediately, repeatedly, from a trader with no visible link to a harvest deserve scrutiny.
- A specification the supplier accepts without discussion. An experienced producer pushes back on at least one line of a demanding specification. Instant agreement to everything sometimes means nothing will be tested against it.
- "GC-MS available on request" rather than per lot. The chromatogram that matters is the one from your lot, not a representative one from an unspecified date.
- Round, unchanging constituent figures across multiple lots. Real agricultural material varies. A profile that never moves is either heavily blended to target or not measured.
- Missing or vague origin. A named region and named plant part is a claim someone can be held to; "Mediterranean" is not.
- Reluctance to send a retained sample or to allow independent verification. Verification is inexpensive relative to a rejected production batch.

It is also worth remembering that the cheap quote and the expensive one are not your only two data points. Composition and labelling of finished goods sold in the EU are governed by frameworks such as Regulation (EU) No 1169/2011 on food information to consumers for food applications, and any statement about effects on health falls under Regulation (EC) No 1924/2006. The fix for incomparable quotes is not more quotes. It is a specification.
Send every supplier the same document, containing: botanical species and plant part; extraction method; chemotype or constituent ranges if and only if you genuinely need them; the analytical package you require and whether it must be per lot and accredited; packaging format and fill size; annual volume and expected call-off pattern; the Incoterm and destination; and the documentation set you need for your market. Then ask for the quote to be broken out enough that you can see which lines are included.
